Automotive Aftersales Coordinator | Hemel Hempstead | Up to £45k

We are recruiting for an Automotive Aftersales Coordinator to join our well-established client in Hemel Hempstead.

The purpose of the role is to provide central administrative and coordination support across the Service and Coachworks functions. The role requires efficient bookings, clear customer communication, accurate documentation and invoicing, smooth workshop scheduling, and effective liaison with external customers and internal teams. It also provides day-to-day team coordination to support service and bodyshop operations.  

What’s in it for you:

·         Salary: up to £45k depending on experience

·         Hours: Monday to Friday, 8am-5.30pm, every other Saturday

Key responsibilities:

Aftersales operations

·         Book customer vehicles for service and repair, organise the workshop diary, and arrange collection and delivery where required. 

·         Arrange MOTs and manage service, warranty and MOT reminders. 

·         Support the smooth operation of the departments, including regular liaison with the workshop team and work-in-progress reporting.

·         Coordinate jobs, including preparation and submission of estimates for approval and liaison with clients, insurers and other stakeholders on agreed processes. 

·         Help organise daily workshop tasks with the workshop supervisor to keep projects on track. 

·         Liaise with insurers and engineers

·         The ability to sell the department’s skills and expertise to clients

Customer communication

·         Act as a courteous, professional point of contact for customers by phone, email and in person, providing estimates and updates as required. 

·         Handle queries and routine concerns promptly and escalate issues where necessary. 

Documentation and invoicing

·         Raise, complete and invoice job sheets for service and coachworks, ensuring timely and accurate records. 

·         Maintain tidy, organised office records and support general administration for both areas. 

Parts, suppliers and vehicles

·         Order mechanical and bodyshop parts as required

·         Coordinate vehicle valeting on completion of mechanical and bodyshop works. 

·         Ensure company vehicles are maintained and cleaned on a regular schedule. 

Team coordination

·         Assist with day-to-day coordination of workshop staff and apprentices in line with agreed instructions and schedules, providing basic technical administration and ensuring timesheets are completed.

What the employer is looking for:

·         Strong PC skills, including MS Office and dealer management systems. 

·         Proven customer handling experience and good organisation skills. 

·         Experience with service administration, including bookings, job sheets, WIP reporting and invoicing. 

·         Parts knowledge and basic understanding of diagnostics or fault reporting. 

·         Experience guiding daily workshop activities and supporting apprentices. 

·         Experience producing written vehicle condition reports. 

·         Familiarity with vehicle accident repair estimating processes and insurer liaison, or the ability to learn quickly.
