School Secretary | Hemel Hempstead | £23k


We’re seeking an experienced and organised School Secretary to join a well-respected school in Hemel Hempstead.

The school is warm, inviting and caring, with a good family, community feel. The role is varied, fast-paced and interesting within a supportive team work environment.

Situated in the school reception area, you will be assisting with various departments. The client are looking for a personable and outgoing candidate with secretarial experience and a great welcoming nature!

Key responsibilities:

  • Manage Outlook inbox for Deputy Head, sending holding emails in reply

  • Organise electronic diary and make appointments as necessary

  • Draft responses to letters on behalf of the Deputy Head

  • Help with organising paperwork for departmental budgets and development plans

  • Helping in the distribution of forms and letters for relevant pupils and parents to sign, annually

  • Prepare timetables and rotas including those for lunchtime, prep, and assembly each term

  • Assist HR with providing tours for candidates on interview, and moving interviewees around the school site in between interviews

  • Type up meeting and review notes, minutes of meetings, records of telephone calls etc

  • Type all Senior School Teaching staff correspondence, emails, e-forms, letters etc.

  • Prepare and distribute Weekly Bulletin to parents and staff

  • Take notes at the Senior School staff weekly meetings and admin meetings

  • Welcome visitors: sign them in, issue 'Visitor’ badges etc

  • Main switchboard - first point of contact

  • Ensure the Front Entrance Hall is presentable at all times

  • Assist School Administrator to chase responses for extra-curricular clubs and activities during the summer holidays and pass replies to Database Manager at the start of the September term

  • Administrative assistance for the Director of Holiday Clubs, primarily outside term time

  • PA, Secretarial or similar office support experience essential

  • Excellent level of IT proficiency, including Word, Excel, Outlook, internet and management information systems

  • Extremely organised and tidy, able to manage multiple tasks and meet tight deadlines, even when under pressure

  • Flawless written and spoken English

  • A high level of proofreading skills

  • Meticulously detail focused

  • A good confident communicator

  • Competent and accurate typing skills

  • Flexible, pro-active and adaptable

  • You are required to maintain an appropriate standard of discretion and confidentiality

Hours: 8.00am - 5.00pm, Monday - Friday

40 hours per week, 52 weeks per annum

Additional note: Please also be advised that there are school events including Open Days (3 Saturdays per year) which you will be required to attend, and there may also be occasions when you will be required to cover for the Receptionist absences, which will mean starting work at 7.30am or covering the Evening Receptionist absences and staying until 7.00pm.
